How Auto-Pay Works

Timing

Payments are automatically withdrawn on the invoice due date.

Your Maximum

The system pays outstanding charges up to the monthly maximum amount you set — you are never charged more than you authorize.

Reminders

You will receive a reminder email approximately 3 business days before each withdrawal, giving you time to review upcoming charges.

1Part 1: Account Setup

0

Open Your Email

Check your inbox for the PayHOA invitation email from Professional HOA Services. Open the email and click the blue 'Setup My Account' button to begin the account setup process.

1

Set Your Password and Save Account Details

On the account setup page, enter a secure password and confirm it. Review your contact information to make sure it is correct. Scroll to the bottom and click the blue 'Save Account Details' button.

2

Initiate a Payment

Once logged into your dashboard, access the payment screen using either the top navigation button or the balance summary button on your dashboard.

2Part 2: Enable Auto-Pay

3

Enable Auto-Pay

On the payment screen, locate the 'AUTO-PAY IS DISABLED' section. Click the blue 'Enable Auto-Pay' button on the right side of that row.

4

Accept the Terms

Read the Autopay terms and conditions. Check the box labeled 'I understand and agree to the Autopay Terms & Conditions', then click the blue 'Configure settings' button.

3Part 3: Connect Your Bank Account

5

Add a Payment Method

In the Autopay configuration window, click the blue 'Add A Payment Method' button to connect your bank account (ACH — free of charge).

6

Connect Your US Bank Account

Select the US bank account tab. Verify your email and full name. Search for and select your bank, then click 'Save Payment Method'. Follow the secure Stripe bank validation prompts and click 'Agree and continue' when finished.

7

Set Maximum Autopay Amount

Click 'Manage Payment Methods' and select the bank account you just added. Enter your Maximum Autopay Amount — enter an amount that covers your full HOA dues (e.g., $332.58 for quarterly). Click 'Save autopay settings' to confirm. Note: the system labels this 'monthly maximum' but Autopay only pulls funds on your actual due date.

Recommended: Set up Auto-Pay using a bank account (ACH) to avoid the up to 3.5% credit/debit card processing fee. ACH payments are free of charge and the most cost-effective way to pay your dues automatically.

Frequently Asked Questions

When is my HOA assessment due?

Assessment due dates vary by community. Please refer to your community's governing documents or contact PHS at 941-202-2400 for your specific due date. Most communities collect assessments monthly or quarterly.

Is there a fee for paying online?

Credit and debit card payments are subject to an up to 3.5% processing fee charged by the credit card company. ACH / bank account (eCheck) payments are completely free of charge. We recommend using ACH to avoid any fees.

Can I set up automatic payments?

Yes. PayHOA allows you to enroll in Auto-Pay so your assessment is automatically deducted each billing cycle. You can manage, pause, or cancel Auto-Pay at any time through your resident account. See the Auto-Pay setup instructions above.

What is the maximum amount I should set for Auto-Pay?

Set your maximum monthly amount to at least the full amount of your regular assessment. This acts as a safeguard — the system will never charge more than your authorized maximum. Note that processing fees are not included in this maximum.

What if I have a question about my balance?

For questions about your account balance, late fees, or payment history, please contact Professional HOA Services Inc. directly at 941-202-2400 or email info@prohoas.com.

I don't have a PayHOA account yet. What do I do?

Click 'Pay Now' above and select 'Create Account' on the PayHOA login page. You will need your property address and the email address on file with your association to register.

Important: Payments are immediately posted to your account after the payment has been made. Please log in to your account for balance update information.
